Student Affairs Conference Room Guide

Use the Conference Room PC and Screen

  1. Select Button 1 on the Extron Switcher
  2. Locate the conference room mouse, keyboard and Cisco WebEx touch screen
  3. Using the Cisco WebEx touch screen, tap the “Share” button
    (if you see a “Stop Sharing” button, skip to step 4)
  4. Tap “Share” under “PC”
    (if “Share” is grayed out, press any key on the keyboard... the “Share” button should become green)
  5. Move the mouse or press any key on the keyboard to wake up the conference room screen
  6. Log in to your SA domain account
  7. Press enter to complete log in and start using PC

Share Your Screen Using WePresent (WIRELESS CONNECTIONS)

  1. Select Button 2 on the Extron Switcher
    • Install MirrorOp on your laptop (Windows: http://s.uconn.edu/mirrorop) OR
    • Install MirrorOp Presenter on your mobile device (App Store or Google Play)
  2. Locate the WePresent IP number and passcode located at the top corner of the conference room screen
  3. Open MirrorOp > Enter the IP number > Enter the passcode > Click Play

Share Your Screen Using HDMI (WIRED CONNECTIONS)

  1. Select Button 3 on the Extron Switcher
  2. Locate the cable labeled “HDMI” located in the credenza or through the table top
  3. Plug the cable into your laptop to share your screen

Hosting WebEx Calls

  1. Follow the instructions to Use the Conference Room PC and Screen
  2. Using the Cisco WebEx touch screen, tap "Call"
  3. Select the conference room you are calling FROM to open this room as a WebEx host
  4. Tap "Call"
  5. When prompted, enter the PIN: 1881
  6. People can now join your WebEx call
  7. To Use the computer while in a WebEx call, tap "Share" on the touch panel
  8. Under "PC" tap "Share" in call

 

Call Another WebEx Enabled Conference Room

  1. Select Button 1 on the Extron Switcher
  2. Locate the conference room mouse, keyboard and Cisco WebEx touch screen
  3. Using the Cisco WebEx touch screen, tap "Call"
  4. Select the conference room you would like to join from the Favorites List
  5. Tap "Call"

Scheduling WebEx Meetings

Host a virtual meeting from your WebEx enabled conference room:

  1. Reserve the conference room for the desired date and time of your meeting
    1. Create a meeting invite using Outlook and invite the attendees
    2. Include the your conference room's unique WebEx URL in the meeting invitation.
      Contact SAIT for your conference room URL if you don't know it
  2. Set up the meeting room
    1. 15 minutes prior to the start of the meeting, start up the equipment in the room and begin hosting the WebEx Room
    2. Follow the instructions for Hosting WebEx Calls

Attend a virtual meeting from your WebEx enabled conference room:

  1. Set up the meeting room
    1. 15 minutes prior to the start of the meeting, start up the equipment in the room
    2. Follow the instructions for Call Another WebEx enabled Conference Room OR
      Click the invite link from the meeting host to connect to your call
